Carpet Cleaning Bidding Software: Review the Scope Before the Price

Review routine vacuuming and extraction as separate carpet cleaning scopes. Build task hours, company costs and a proposal that describes the work.

Carpet cleaning bidding software is useful when the estimate describes the work you will actually deliver. Start with the task, its cleanable quantity and the service schedule. A building’s total square footage alone does not define a carpet job.

Separate routine vacuuming from extraction

A recurring janitorial scope may include routine vacuuming on each visit. Extraction or other periodic carpet work needs its own reviewed task, frequency and job conditions. Keep those assumptions visible instead of spreading an unexplained extra amount across a routine contract.

For a whole job, identify how many times each task is performed during that job. For recurring work, identify how often the task is performed during the pricing period. Check that labor, supplies, equipment and the client price all use the same period.

Capture the quantities and conditions

During the walkthrough, record the carpeted area included in each task, access arrangements, equipment needs, furniture responsibilities and the service expectations. Document what is included and what needs a separate review. Specialist requirements need a suitable method and a reviewed scope; a price calculator does not establish them for you.

Use a task-specific production reference to estimate productive hours. Review it against the equipment and conditions for the site, then allow for setup, movement and other work around the task. A team’s elapsed visit time and its total person-hours are different quantities.

ISSA’s general guide to cleaning-time calculations describes using measured quantities and task rates as a starting point. BidLoom’s public task references show its own industry-approximation ranges and units; review those ranges against the actual job conditions before choosing a rate.

Review the cost before choosing a price

Combine the planned person-hours with your company’s reviewed hourly labor cost. Include the supplies, equipment and other allocated costs that belong to this scope. Unknown employer, insurance or specialist costs need review before you quote them as covered.

Margin and markup express profit against different amounts. Margin is a share of the client price; markup is a share of cost. Check which one your spreadsheet or software uses before comparing two estimates. The glossary defines the terms used in this workflow.

What you can work through in BidLoom

BidLoom’s shared task catalog includes routine carpet tasks and a carpet extraction reference. Build the relevant areas and tasks, choose the frequencies or whole-job occurrences and review the rates and costs for that scope.

The public cleaning time calculator is a starting point for routine tasks such as vacuuming. It does not automatically add an extraction or restoration scope. Review periodic and specialist work explicitly in the full bid rather than assuming it is included in that public example.

Once the estimate is reviewed, prepare a proposal describing the areas, tasks, schedule, responsibilities, exclusions and client price. Review the proposal before sharing it; the client document should not expose your internal employer-cost review.

Compare tools on the same carpet scope

Ask each tool to represent the same quantities, tasks, job period and cost assumptions. Then inspect the result: can you explain the labor hours, show what the price covers and give the client the proposal format they need? Use the comparison guides as evaluation starting points and confirm current vendor terms for your selected plan.
